01The short answer, by business size

If you are a small business and a quote lands well outside the $50-$300 band, it is worth asking which of those rows the vendor thinks you are in. In our experience the mismatch is usually the vendor pricing for a support team you do not have.

02The three pricing models and which one bites

Almost every quote you will see is one of three shapes, and they fail in different places.

Flat plan with a conversation cap. You pay a fixed monthly fee for up to N AI conversations. Predictable, easy to budget, and the model most small businesses should prefer. The failure mode is the cliff: hit the cap mid-month and you either upgrade a tier or the bot stops being an AI bot.

Per-seat, plus AI as an add-on. You pay for human agent seats and bolt AI on. This is fine if you already have a support team and terrible if you do not — you are paying for seats to unlock a feature meant to reduce the need for seats.

Per-resolution. You pay only when the AI actually resolves something. Attractive on paper and genuinely fair in principle, but it scales linearly with success. Intercom charges roughly $0.99 per Fin resolution with a 50-resolution monthly minimum, on top of seats at about $29, $85 or $132 per seat depending on tier. Four hundred resolutions a month is around $400 in resolution fees alone.

The practical test: model each quote at three times your current volume. The model that still looks sane at 3x is the one to sign. Growth is the thing that turns a good chatbot deal into a bad one.

03What the main platforms actually charge

Chatbase starts at about $19 a month, with the Standard plan around $49. It is the most straightforward of the three: you point it at your content and it answers from it. Good fit for a website FAQ deflection use case.

Tidio prices the platform and the AI separately. Base packages start near $29 a month and run up to enterprise tiers in the thousands. Lyro, the AI layer, is an add-on from roughly $39 a month for 50 conversations up to about $289 for 500. A typical small business ends up between $68 and $150 a month for both. Read the conversation definition carefully — what counts as one conversation varies more than you would expect.

Intercom is the heaviest and the most capable. Fin starts around $99 and adds about $0.99 per resolution on top of seat pricing of roughly $29 (Essential), $85 (Advanced) or $132 (Expert) per seat per month, with a 50-resolution monthly minimum. If you already run Intercom for support, Fin is an easy yes. If you do not, the seat cost alone usually rules it out for a small team.

04The costs nobody quotes

On most SMB deployments we have seen, the software is the smaller half of year-one cost.

Content preparation. An AI chatbot is only as good as what it reads. If your help content is thin, contradictory or scattered across a decade of pages, someone has to fix that first. This is the single most underestimated line item.

Integration. Connecting the bot to your CRM, helpdesk or booking system so a conversation becomes a record. Without it you get a widget that answers questions and loses leads.

Tuning. Reviewing failed conversations monthly and fixing the gaps. Budget an hour or two a month indefinitely. Bots that are never reviewed plateau, and the plateau is usually well below what the vendor demo suggested.

05What you should budget

For a small business starting from nothing, a realistic first-year budget is $60 to $150 a month in software plus a one-off content and integration effort measured in days rather than hours. Start on a flat plan with a conversation cap so the bill cannot surprise you, instrument it properly, and only move to per-resolution pricing once you know your volume and can model it at 3x.

And set one number before you buy: what a deflected conversation or a captured lead is worth to you. Every pricing model above is easy to evaluate once you have that figure, and impossible to evaluate without it.
